Camera ready submission

General information

When the review process has been completed, authors receive a notification of either acceptance or rejection of the submission.

Please note: In case of Abstract (works in progress or business project summaries) for a poster demonstration authors also receive a notification of either acceptance or rejection of the submission, but the below instruction does not apply to them.

If the paper has been accepted, the authors can prepare a full paper (final manuscript) that incorporates the reviewers’ suggestions.

Please kindly address all referees’ suggestions. Final acceptance is conditional on an appropriate response to their requirements and comments.

In addition to the revised version of your paper (final paper), please provide your responses to the reviewers’ questions in a separate PDF file and upload it accordingly.

IEEE requirements

Please assure that your final manuscript has been prepared in full accordance with the IEEE requirements (format A4).

Additional requirements:

  • Please make sure NOT TO NUMBER your pages.
  • Use headline style capitalisation in the paper, sections and subsections titles (capitalization of all words, except for internal articles, prepositions and conjunctions).
  • Make sure you included names and affiliation of all authors.
  • Make sure you included keywords.
  • Do not insert any footers or headers.

The minimum page limit is 5 and maximum page limit is 6 inclusive of figures and tables.

Please note that IEEE EUROCON 2025 offers the option to buy up to two extra pages for submission (for the cost look here).

If an accepted paper is found to be plagiarized, the paper will be removed from the proceedings.

Copyright notice

Add the copyright notice to the bottom of the first page of your source document (left aligned).

  • For papers in which all authors are employed by the US government, the copyright notice is:
    U.S. Government work not protected by U.S. copyright
  • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is:
    979-8-3315-0878-4/25/$31.00 ©2025 Crown
  • For papers in which all authors are employed by the European Union, the copyright notice is:
    979-8-3315-0878-4/25/$31.00 ©2025 European Union
  • For all other papers the copyright notice is:
    979-8-3315-0878-4/25/$31.00 ©2025 IEEE

Example

The following latex commands can be used to insert the standard IEEE copyright notice in your paper (in this case the third copyright notice is used). Add these before the \maketitle command.

MSWord users can use: Insert -> Text box, insert the appropriate copyright notice in the texbox, and place the box (without border) at the bottom left on the first page. Use Times New Roman 9pt.

Preparing final pdf with IEEE PDF eXpress

The paper must be re-submitted even if the reviewers indicated that no change is required, since the final pdf version should be IEEE PDF eXpress compatible. To prepare IEEE PDF eXpress compatible files:

  1. Go to IEEE PDF eXpress Website.
  2. Click on the link “New Users – Click Here” and fill in your information.
  3. Enter the following:
    • 64445X for the Conference ID
    • your email address
    • a password Continue to enter information as prompted.
  4. IEEE PDF eXpress account will be available to May 15, 2025
    Use IEEE PDF eXpress to convert your source file into IEEE Xplore-compatible PDF(s).
    The site contains extensive instructions, resources, helpful hints, and access to technical support.
  5. After using IEEE PDF eXpress®, submit your IEEE Xplore-Compatible file at our online submission system.

Copyright Form

In order for your paper to be published in the conference proceedings, the copyright must be confirmed.

You will receive a separate email with instructions on how to complete this process.

IMPORTANT: No paper can be published in the proceedings without a completed IEEE Copyright Form.

Submission

After completion of the above steps, please submit:

  1. your final camera ready paper  – manuscript (PDF),
  2. author response to reviewer comments (PDF),

as independent files  your CMT  conference papers submission system.

Registration

Condition for including a paper in the conference proceedings is that at least one of its authors has to be registered and the registration fee is paid. The details on registration are available here.
